StayLapland cancellation policy: how it works on each of our tours

Before anyone books a winter evening in Lapland, the same question comes up: what happens if our plans change? It is a fair question. Flights move, children fall ill, and an Arctic trip is planned months ahead. So rather than paraphrase, we have gathered the cancellation wording that is printed on our own product pages and put it in one place.

The short version: there is no single StayLapland cancellation policy. Each activity carries its own rule in the “Cancellation policy” section of its page, and that text — together with the booking confirmation — is what applies. Below we group our activities in Rovaniemi by the rule they use, quote it word for word, and explain the small print around minimum group sizes and weather.

Most of our shared guided tours — for example the Northern Lights Tour At The Campfire (from 99 €, 3 hours) — say: “Free cancellation 24 hours before the activity. We will charge a cancellation fee of 100% if booking is cancelled less than 24 hours before the activity.” Private tours use a 7-day rule, Lapland Winter Park tickets are non-refundable, and a handful of partner day trips have staged fees. Always check the “Cancellation policy” line on the product page before you pay.

The 24-hour rule on most of our guided tours

The wording used on most of our shared (small-group) tours is identical on every page:

Free cancellation 24 hours before the activity. We will charge a cancellation fee of 100% if booking is cancelled less than 24 hours before the activity.

In practice that means you can cancel without a fee as long as it is more than 24 hours before the start time of your tour. Inside those 24 hours the full price is charged. This rule appears on, among others:

It is the same whether the tour costs 99 € or considerably more, so it is worth noting the start time in your calendar with a reminder a day and a half before.

Private tours: 7 days

When a tour runs only for your own group, the departure is arranged for you alone, and our private products use a longer window. The text on those pages reads:

Free cancellation 7 days before the activity. We will charge a cancellation fee of 100% if booking is cancelled 7 days or less before the event.

You will find it on the Private Northern Lights Tour At The Campfire, the Private Nulkki Husky Adventure, the Professional Northern Lights Hunting Tour – Guaranteed (PRIVATE), the Private Frozen Trails: 1-Hour Snowmobile Ride at Lapland Winter Park and our other private experiences, as well as on the Overnight Northern Lights Tour & 2 Full Days of Snowmobiling.

Tickets that are final: Lapland Winter Park and a few day trips

Some products are sold as tickets rather than guided departures. For these the product page states simply:

Bookings are non-refundable. All sales are final.

This applies to the Lapland Winter Park Area Ticket, the Lapland Winter Park Sauna World Ticket, the Ice Karting and Mini Snowmobile tickets and the Lunch Buffet at Lapland Winter Park, as well as to the Frozen Waterfalls & Hidden Café Lunch day trip. Please book these only once your dates are firm. Note that not everything at Lapland Winter Park is a ticket: the guided Arctic Paws husky ride and the Frozen Trails: 1-Hour Snowmobile Ride at Lapland Winter Park follow the 24-hour rule, and the private version of Frozen Trails follows the 7-day rule.

Tours with staged fees

A few experiences are run with partners or have limited seasonal dates, and their pages show a stepped policy. We quote them as written:

When we cancel or reschedule a tour

Cancellation works in both directions, and our product pages are clear about when we may have to change a departure. On our shared tours the “Important” section says:

Some tours add their own limits. The Wilderness Snowmobile Safari page states a temperature limit of −35 °C, and −25 °C for small children. On the Kuoksa Reindeer Adventure, if the weather does not allow a sleigh ride, the tour is arranged as a reindeer walk instead.

The product pages do not spell out a single rule for what happens to your payment when we are the ones who cancel, so if that happens we contact you directly and go through the options with you. If you want to know in advance, just ask us when booking.

Northern Lights: what the policy does and does not cover

A cloudy sky is not in itself a reason for a free cancellation on our regular Northern Lights tours. The FAQ on the Northern Lights Tour At The Campfire page is honest about it: “Since the Northern Lights are a natural phenomenon, we cannot guarantee a 100% sighting, as it depends on weather and solar activity.” The evening itself — the pick-up, the warm clothing, the campfire in the teepee at Kuoksa Wilderness Park, snacks and drinks — still takes place, and the normal 24-hour rule applies.

If a guaranteed sighting matters to you, look at the tours that carry the word “Guaranteed” in their name, such as the Professional Small Group Northern Lights Hunting Tour from Rovaniemi – Guaranteed, and read the terms on that page before booking.

Rentals and packages

Our winter clothing rental sets (for example the Winter Clothing Set Overall) show this text: “Free cancellation 48 hours before the activity. We will charge a cancellation fee of 100% if booking is cancelled less than 24 hours before the renting starts.” If your plans change between 48 and 24 hours before, please message us and we will confirm how it applies to your booking.

Our spa experiences, celebration and proposal packages, Christmas packages and the Private Traditional Finnish Sauna & Jacuzzi at Aurora Hill Resort do not currently show a cancellation section on their pages. For these, please ask us about cancellation terms before you book — we would rather you know than guess. Hotel stays at Postmaster Hotel and Aurora Hill Resort are booked separately; the terms for a stay are shown when you book it.

How to cancel or change a booking

Write to us as early as you can, with your booking reference and the name used for the booking:

The time that counts is the start time of the activity shown in your confirmation. Transfers happen before that — on our Northern Lights campfire tour, for example, we ask you to wait in your hotel lobby 10 minutes before the pick-up time — so do not leave a cancellation until the last minute.

Book a 24-hour tour if your dates are fixed but you like to keep a little flexibility. Choose a private tour when you want the whole guide and vehicle for your group and can commit a week ahead. Buy Lapland Winter Park tickets once you are sure of the day.

Can I cancel a StayLapland tour for free?

What if there are not enough people on my tour?

At least 2 people are required on weekdays and Saturdays and at least 4 on Sundays and public holidays. The product may be cancelled or rescheduled if the group is smaller than 2 persons; we contact you directly if that happens.

Is a Northern Lights tour cancelled if the sky is cloudy?

No. We cannot guarantee a sighting because it depends on weather and solar activity, and the normal cancellation policy applies. Tours may be cancelled or rescheduled in case of extreme weather conditions.

How do I cancel my booking?
