Please read the below terms and conditions as well as payment terms carefully. You must agree with the following rules and regulations (unless otherwise agreed) to ensure smooth travel arrangements.

Hotel Postmaster Terms & Conditions


Reservation Terms and Conditions for Individual Customers

  1. Reservations and Payment
    • All reservations require full pre-payment at the time of booking, regardless of the selected rate type.
    • We offer two types of rates:
    o Flexible Rate: Available only during selected periods of the year. This rate allows for free cancellation within a specified time frame prior to arrival, which will be clearly stated at the time of booking. After that deadline, the full booking amount will be retained.
    o Non-Refundable Rate: Offered year-round at a discounted price, this rate is non-refundable and non-changeable under any circumstances.
    • We strongly recommend purchasing travel insurance to cover unexpected cancellations or interruptions.
    • The person making the reservation must be at least 18 years old and provide valid identification upon check-in.
  2. Rates and Inclusions
    • All rates are quoted per room, per night, and include applicable taxes and daily breakfast.
    • Rates may vary depending on season, availability, and promotional offers. Confirmed bookings will be honored at the rate secured at the time of reservation.
  3. Cancellation and No-Show Policy
    • Flexible Rate Bookings:
    • May be canceled free of charge within the cancellation period stated in your booking confirmation.
    • Cancellations made after the specified window or no-shows will result in a full charge of the reservation.
    • Non-Refundable Bookings:
    • Are fully charged at booking and are non-refundable, with no changes or cancellations permitted
  4. Check-In and Check-Out
    • Check-in time:
    • 16:00 (4:00 PM) during high season (November 1 – March 31)
    • 14:00 (2:00 PM) during low season (April 1 – October 31)
    • Check-out time: 12:00 PM
    • Requests for early check-in or late check-out are subject to availability and may incur an additional fee.
  5. Pets
    • A limited number of pet-friendly rooms are available. These must be requested in advance and are subject to availability.
    • Additional cleaning fees and pet policy rules may apply.
  6. Guest Responsibilities
    • Guests are responsible for any damage to rooms or hotel property during their stay.
    • Smoking is strictly prohibited in indoor areas. A penalty or cleaning fee will apply if violated.
    • The Hotel reserves the right to refuse service or terminate a stay without refund for inappropriate conduct.
  7. Liability and Personal Belongings
    • The Hotel is not liable for lost, stolen, or damaged personal belongings.
  8. Force Majeure
    • The Hotel is not liable for failure to provide services due to unforeseen circumstances beyond its control (e.g., natural disasters, government actions, pandemics, strikes, etc.).
  9. Governing Law
    • These Terms shall be governed by and interpreted under the laws of Finland.
  10. Guest Responsibilities
    • By completing a reservation, you acknowledge that you have read, understood, and agreed to these Terms and Conditions. These Terms may be updated periodically, and the version applicable to your reservation will be the one in effect at the time of booking.

Aurora Hill Resort Terms & Conditions
  1. Reservations and Payment

General Terms and Conditions When Booking StayLapland Activities
Please read the following terms and conditions as well as payment terms carefully. You must agree with the following rules and regulations (unless otherwise agreed). These terms and conditions may be updated periodically and apply to all of our services.

By accessing, browsing, using, or completing a reservation through our (mobile) website, you acknowledge that you have read, understood, and agreed to the terms and conditions set out below.

StayLapland is a tour operator offering a wide range of adventure tours in Finland. Bookings can be made directly through StayLapland, its sub-brands, or any other website through which StayLapland offers its services. If you encounter any issues booking through the StayLapland website (www.staylapland.com), please contact our Customer Support Team at info@staylapland.com. StayLapland reserves the right to change itineraries and/or timetables if necessary due to adverse weather conditions or other circumstances. We are not responsible for expenses and/or other costs due to factors outside of our control, such as flight delays, changes or cancellations, injuries, weather, war, natural disasters, etc., and/or other unforeseeable events. You are responsible for providing StayLapland with the correct contact information and relevant details so that we can keep you informed of any changes to the services booked.

1. Booking and Confirmation
By booking or participating in StayLapland programs or related services, you agree to the terms and conditions set out below. Each program’s services and prices are described separately.

2. Prices
All prices for services provided by StayLapland and its sub-brands are in Euro (EUR). As a local operator, StayLapland cannot be responsible for currency fluctuations or additional fees outside its control, such as bank transfer fees or credit card fees.

3. Payment
StayLapland accepts most major credit/debit cards and cash in euros. All prices include VAT as per Finnish taxation laws. StayLapland reserves the right to change prices in case of unforeseen additional costs, such as taxes or fuel price increases.

4. Promotional Codes
Promotional codes and special offers must be applied at the time of booking by entering the relevant code in the field provided during checkout. These offers cannot be applied retroactively as a refund.

5. Liability
StayLapland adheres to Finnish health and safety regulations in delivering its programs. We assume liability for any injuries or damages caused by our negligence or faulty equipment during the program. StayLapland is not responsible for accidental injuries or damages covered under the customer’s travel insurance.

6. Liability Insurance
StayLapland holds third-party liability insurance for bodily injuries and property damage. This coverage is provided by LähiTapiola under Finnish law.

7. Safety
StayLapland reserves the right to modify or reschedule the program due to bad weather, extreme cold, or other safety concerns. Full refunds will be provided in the case of cancellations. Participation in programs under the influence of drugs or alcohol is strictly prohibited. If participants are deemed a danger to themselves or others, StayLapland may discontinue their participation without refund.

8. Responsibility
Participants are responsible for their personal belongings during the programs. StayLapland cannot be held liable for lost or damaged items. If equipment provided by StayLapland is damaged or lost, participants may be held financially responsible for repair or replacement costs.

9. Snowmobile Tours
Participants in snowmobile tours are liable for any damages to snowmobiles, with a self-liability limit of up to €990 per snowmobile per incident. Drivers must be at least 18 years old with a valid driver’s license. Finnish law prohibits operating a snowmobile under the influence of alcohol or drugs.

10. Photos and Videos
During our programs, Stay Lapland guides may take photos or videos of participants and the environment. These may be used for marketing and promotional purposes without explicit permission. If you do not wish to be photographed or filmed, please inform us in writing via email at info@staylapland.com.

11. Extraordinary Circumstances
StayLapland is not liable for losses caused by extraordinary circumstances beyond our control. This includes, but is not limited to, natural disasters, extreme weather conditions, pandemics, wars, or other events that prevent the delivery of services. In the case of such events, we will notify you as soon as possible and attempt to minimize the disruption to your program.

12. Applicable Law and Jurisdiction
These terms and conditions are governed by Finnish law. Any disputes arising from these terms will be settled in the District Court of Lapland (Lapin Käräjäoikeus) located in Rovaniemi, Finland.

13. Changes to Terms & Conditions
StayLapland reserves the right to amend these terms and conditions at any time without prior notice. Updated terms will be available on our website.

14. Severability
If any part of these terms is found to be invalid or unenforceable, the remaining provisions will continue in full force and effect.

15. Health and Medical Conditions
Participants are responsible for disclosing any relevant health or medical conditions, including allergies or dietary restrictions, prior to participating in any activities. StayLapland reserves the right to refuse participation to anyone deemed unfit to take part in an activity based on the information provided or lack thereof. Participants should also carry any necessary medications with them.

16. Age Restrictions and Minor Participation
Certain activities may have minimum age requirements. For example, snowmobile tours require drivers to be at least 18 years old with a valid driver’s license. Minors must beaccompanied by a responsible adult at all times during the activities. Please review the tour description for specific age restrictions or contact our support team for clarification.

17. Environmental Policy and Responsibility
StayLapland is committed to promoting sustainable tourism and protecting the pristine nature of Finland. We encourage our guests to respect the environment by minimizing waste, avoiding harm to wildlife, and following the guidance of our trained guides. StayLapland adheres to environmentally friendly practices, and we expect our guests to do the same.

18. Data Protection and Privacy Policy
StayLapland respects the privacy of its customers and complies with Finnish and EU data protection laws. Personal information provided during the booking process will be used solely for the purposes of completing your reservation and providing the best possible experience. We will not share your personal data with third parties, except as necessary for booking services with trusted partners.

19. Accessibility
While StayLapland strives to accommodate all participants, certain tours and activities may have physical requirements due to the nature of the environment or the activity. Please contact us before booking if you have any concerns about accessibility.

20. Lost and Found
StayLapland is not responsible for personal belongings left behind during or after the tours. If any item is found, we will attempt to contact the owner and arrange for its return at the owner’s expense. Items will be kept for 30 days before being disposed of.

21. Compliance with Local Laws and Customs
Participants are expected to comply with local laws, customs, and regulations during their time with StayLapland. This includes respecting local wildlife, natural reserves, and the communities we visit. Any illegal activity or disrespectful behavior may result in the termination of services without refund.

StayLapland Activities Cancellation Policy
Our cancellation fees cover the direct costs of cancelling or amending your tour. All cancellation requests must be made in writing, preferably by email, by the lead traveler. Refunds, if applicable, will be processed within 7 working days. Stay Lapland is not responsible for delays in receiving your refund once processed.

Cancellation Fees & Charges

Cancellation fees are calculated based on a list of penalty rules.

• Cancellation fee of 100% is charged if cancelled 24 hours or less before the event

Changes to Reservations

Changes to reservations must be requested in writing via email to info@staylapland.com at least 72 hours before the start of the tour and during office hours (Mon-Fri, 08:00–20:00 UTC +2). Changes are subject to availability and approval, and additional costs may apply.
